Electronic Records Committee Meeting Minutes

Attendees: Doug Cruce, Judicial; Cathy Nicoletti, KITO; Sherry Williams, KU; Scott Leonard, Cynthia Laframboise, Letha Johnson, Pat Michaelis, Justin Dragosani-Brantingham, Matt Veatch, KSHS. 

Minutes of Previous Meeting: Mary Grace was attending for Cathy.

KSPACe Update:The Project Team includes Bill Sowers and Marc Galbraith from the State Library; Trevor Swarm, Jane Kelsey, Scott Leonard, Matt Veatch, and Pat Michaelis from KSHS. The Technical Advisory Group chaired by Matt including some members from DISC and KDOR. The Policy Advisory Group (Steering Committee) chaired by Marc has not met yet includes Cathy Nicoletti, Sandy Sadowsky and Karen Vicary from the Legislature; Greg Crawford from KDHE; Nan Meyers from Wichita State University; Tim Blevins from Revenue; Doug Cruce from Judicial; Pat and Scott. Would like someone from AccessKansas, Secretary of State, maybe even Terri Nuckolls. Metadata group of Bill and Jane concerning cataloging. TAG raised a list of fourteen questions regarding technology that should be answered. Also seeking NHPRC funding for archival applications of KSPACe. Asked for $158,000. Dept. of Education and Wildlife and Parks have expressed interest. Grant would hire two staff: user support manager and system administrator. INK grant $40,000 for hardware and $20,000 for system programming can be used as match for NHPRC grant.

Risk Assessment Tool Project : We have not met or discussed this tool since last meeting. Nothing new to report. 

Committee Membership : We all gave an ode to Steve Johnson who has relocated to Illinois. Mike Kelly from Wichita State is relocating to the University of New Mexico. Rick Miller has left KITO. Cathy Hut is also gone. Denise will be taken off. Replacements are needed. Pat speculated on not only discussing new members but when we meet, etc. Scott suggested possible tiers of core workers and interested parties. Matt would like broader representation. Possible consensus to make this a quarterly meeting on months before State Records Board. New core members suggestions: Duncan Friend, John Curran, Ron Rohrer? Maybe bring it up at ITAB in search for new core members. Doug said that that we need to keep stressing it to recruit. Scott said maybe the Risk Assessment Tool might provide impetus. At a minimum, Scott will take some off before the next meeting.
