Vacation leave balances are limited to a maximum accrual based on length of
service (see above chart). At the end of the last payroll period paid in each
fiscal year, up to 40 hours of any accrued vacation leave that exceeds an
employee’s maximum accumulation of hours shall be converted to sick leave (by
entering the SLA earnings code and hours on the timesheet). After this
conversion, all remaining vacation leave over the maximum accumulation of hours
shall be forfeited at the end of the last payroll period paid in that fiscal
year. Therefore, employees must use any vacation accruals over the maximum by
the pay period end date to avoid losing it. Employees are responsible for
monitoring leave overage.
Agencies however, should generate the Vacation Leave Overage Report
(http://da.state.ks.us/sharp/reports/kben354.htm)
to determine who needs up to 40 hours vacation transferred to sick leave.
