Business Process Flow for SMART Training Classes

SMART Web-Based Training Courses

All SMART Web Based training classes are completed using the SMART Website > Training Page > Course Catalog.  Find the course you need to take, click on the course link, and then navigate to the Delivery Method.  The Delivery Method contains a Web-Based Training link.  Click the link to open the course page.  Each course is divided into lessons, and a course assessment.  You must complete all course lessons (in order) before you can successfully complete the course assessment.  At the end of the course assessment you will receive a completion statement.  Provide the completion statement to your Agency’s SMART Security Liaison.

  • SMART Course Catalog - Find the web-based training you wish to complete. Be sure to check if there are prerequisites, courses you should complete first. Next to the delivery method header on each web-based training page, click the link titled "web-based training." Review each lesson and then complete the Course Assessment.

SMART Instructor-Led Training Course Enrollment

There are two options for your Agency to choose from regarding enrollment for SMART Instructor-Led Training courses.  *** Please ask your Supervisor how your Agency is handling enrollments for SMART Instructor-Led Training courses, so that you choose the correct option for your Agency. ***

Regarding Agency Staff Terminations: 

Regardless of the option your Agency chooses, it is the responsibility of the Agency’s SHaRP Training Administrator to contact the SMART Training Team to have the individual cancelled from all SMART Instructor-Led Training Course enrollments. Please ensure this is done as soon as possible after termination date.

SMART Instructor Led Training confirmation letters are emailed out to enrolled participants during the week prior to the class date. Confirmation letters are sent out close to time of facilitation as enrollment status may change between time of the enrollment and the actual facilitation of the class.

Parking Information: If you work outside the Capitol Complex, you may park in Lot 4 which is located between Harrison Street and Topeka Boulevard near 12th Street.

Please complete the Parking Information Template listed below and forward this email to Parking@da.ks.gov PRIOR to the beginning of your training session.

Option 1: Centralized Enrollment – Agency Administrated

Your Agency has a SHaRP Training Administrator role assigned to one of your staff.  This person is responsible for enrolling you in your required SMART Instructor-Led Training courses.

*** DO NOT use the Wait List function when enrolling in SMART Instructor-Led Training Classes in the SHaRP Employee Self Service module.  The Wait List functionality is not being used by the SMART Training Team in SHaRP. ***

SHaRP Training Administrators:  Use the Computer Based Training for your role to help you complete your Agency’s SMART Instructor-Led Training enrollments in SHaRP.  The computer based training is located here:  http://www.da.ks.gov/sharp/WebCBT/Training/BookMenu_Train.htm

Use the Functions In Training Section > Enrollment Overview section.

Need to Cancel Enrollment From Class: If you are unable to attend a SMART Instructor Led training session, please contact your Agency’s SHaRP Training Administrator. They will need to contact the SMART Training Team to have your enrollment in the class cancelled. You cannot cancel a class enrollment via the Employee Self Service module in SHaRP.

If you are unable to attend a SMART Instructor Led Training Class on the day of training: If you have an emergency the day of training and are unable to attend a session, please contact the SMART Help Desk at 785-368-8000, Option 2, to let them know you will be unable to attend training.  The SMART Help Desk will contact the SMART Training Team and the instructor to let them know.

 

Option 2:  Decentralized Enrollment – Employee Self Service

Agency staff enroll themselves in their required SMART Instructor-Led Training courses using the SHaRP Employee Self Service module.    Click this link to navigate to the SHaRP Employee Self Service module:  https://http://www.kansas.gov/employee/

SHaRP Employee Self Service Overview for SMART Instructor-Led Training Courses

Use the Request Training Enrollment page to locate the required SMART Instructor-Led training classes you need to take.  Choose one of these search methods to find a course session in SHaRP:

Course Name – All SMART courses listed in SHaRP contain the word ‘SMART’ – use this to help you narrow your search results.

Course Number – All SMART Instructor-Led Training Courses begin with the letter ‘S’ (with the exception of the web based training courses for Time and Labor) - use this to help you narrow your search results.

Location – Use the City or building location to search for your desired course.  Hint: Most Topeka classes are facilitated in the Landon State Office Building.

Date – Enter a date range to view the available courses.  Note:  You must use a current or future date; you cannot search for past classes using the Request Training Enrollment page.

View Class Details
Once you have located a course, click the blue “i” icon to access detailed information about a course.

Clicking the “i” icon opens the course detail page which contains a written description of the course.

The written description contains the course curriculum outline, roles that require this training, and any required pre-requisites that need to be completed prior to the course.

Training Request Status Page

SHaRP provides a Training Request Status page in Self Service where an employee can view the status of their training enrollment requests.  Statuses used on the Training Request Status page are:

Approve – enrollment request accepted

Deny – enrollment request rejected

Pending – waiting for review by Central

Training Requests are automatically sent to the Central SMART Training Team for review and processing (approval or denial).

 

Frequently Asked Questions

Q:  How do I know what training to enroll in, or what training to enroll my Agency employees in?

A:    Each Agency is responsible for determining the SMART security access roles that each person will require in order to be able to perform his/her job duties within SMART.  Your Agency’s SMART Security Liaison is familiar with this process.

The SMART Website – Technical Resources Page contains the SMART Security Handbook, and the User Role to Training Course Mapping spreadsheet. (http://da.ks.gov/smart/technicalresources.html )

Use the SMART Security Handbook to determine what SMART Security Access roles are required for the individual.

Use the User Role to Training Course Mapping Spreadsheet to determine and list which courses the individual will need to complete.  Use the list to create training request(s) in SHaRP.

Q:  Does our Agency still need to submit a Security Access Form and Help Desk Ticket?

A:     Yes.  The use of the SMART Security Access Form will continue.  There is no change to this process.
The SMART Agency Security Liaison will submit a Security Access form via a Help Desk Ticket with the requested security access roles in SMART after the required SMART Instructor-Led Training courses have been completed and/or scheduled.
